Bookkeeping Clients
For monthly or catch-up bookkeeping, we need a record of every transaction in each account for the period we’re working on.
What to Provide
- Business checking account statements (every month in the period)
- Business savings account statements
- Credit card statements (each card, including cards used for mixed business and personal spending)
- Loan and line-of-credit statements
- PayPal, Venmo Business, Square or Stripe activity reports
- Receipts for large purchases (equipment, vehicles, software)
- Payroll reports (if you use a payroll service)
- Last year’s ending balances or prior bookkeeping file (new clients)
Three Ways to Share Your Bank Activity
Connect your accounts directly to your bookkeeping software (such as QuickBooks Online) with a secure, read-only link. Transactions flow in automatically — nothing to upload.
Download your transactions from your bank’s website as CSV files (steps below) and upload one file per account, per period.
Send your PDF statements and we’ll convert them into CSV files for you. Because each statement is entered and checked by hand, a conversion fee applies. Ask us for a quote.
How to Download a CSV From Your Bank’s Website
- Log in to your bank or credit card website on a computer (most mobile apps can’t export files).
- Open the account you need and go to its transaction activity.
- Look for a Download, Export or download-icon button, usually near the top of the transaction list.
- Choose CSV as the file format (it may be labeled “Spreadsheet” or “Excel”). QuickBooks (.QBO) files also work.
- Set the date range to the full period we’re working on, then download.
- Name the file clearly, e.g. Chase-Checking-1234-2026-01.csv, and repeat for every account and card.
Tip: Many banks only let you download recent history. For older months, send the PDF statements instead. We never ask for your bank password by email, text or phone.
